Registrations

Team Registration

A team’s entry is not guaranteed until:
 

  • The online registration form is completed.

  • The required deposit or full entry fee is received.

  • Any requested roster and insurance documents are submitted.

  • Diamond XPO confirms the team’s acceptance.
     

Tournament space is limited. Registration alone does not hold a spot without payment.
 

 

Diamond XPO reserves the right to:
 

  • Accept or decline a team’s registration.

  • Combine compatible age or competition divisions.

  • Reclassify a team when necessary to preserve competitive balance.

  • Cancel a division that does not receive enough teams.

  • Place teams on a waiting list after a division is full.

Entry Fees and Payment

The tournament entry fee and payment deadline will be listed on the individual event page.

Unless otherwise published:
 

  • A $125 deposit is required to reserve a team’s position.

  • Deposits are nonrefundable.

  • The remaining balance must be paid by the stated deadline.

  • A team that misses the payment deadline may lose its position.

  • No team may begin tournament play with an unpaid balance.
     

Any gate fees, parking fees, umpire fees, or cash-at-the-plate requirements will be disclosed on the event registration page.

Team Insurance

Each team must carry valid general liability and participant accident/medical insurance covering the tournament dates.
 

A certificate of insurance may be required before the team is allowed to participate. Diamond XPO and the facility owner may need to be listed as additional insureds when requested.
 

Teams unable to provide acceptable proof of insurance may be removed without a refund.

Refunds

Team Withdrawal
 

  • The $125 deposit is nonrefundable.

  • Withdrawal 30 or more days before the event: Refund of payments above the deposit.

  • Withdrawal 15–29 days before the event: 50% refund of payments above the deposit.

  • Withdrawal fewer than 15 days before the event: No refund.

  • No refund for a team that withdraws after the schedule is published.

Weather Refunds

Administrative, facility, insurance, sanctioning, and payment-processing expenses may be deducted before refunds are calculated.
 

NOTE: No refunds will be given for forfeits, ejections, schedule preferences, travel problems, or a team’s decision not to continue.

Admission, Parking and Facility Rules

Gate and parking fees, when applicable, will be listed for each tournament.

All teams and spectators must follow facility policies regarding:
 

  • Parking.

  • Pets.

  • Coolers.

  • Outside food.

  • Alcohol and tobacco.

  • Tents and canopies.

  • Artificial noise makers.

  • Field access.

  • Cleanup and trash disposal.
     

Facility rules take priority over general tournament policies.

Injuries and Medical Decisions

Coaches and parents are responsible for determining whether a player is medically able to participate.

A player showing signs of concussion or serious injury must be removed from play and may not return until cleared according to applicable law and tournament policy.

​

Tournament personnel may request emergency medical assistance when reasonably necessary. Diamond XPO does not make medical diagnoses.

Tournament Director Authority

he Tournament Director may make decisions necessary to protect:
 

  • Player safety.

  • Competitive fairness.

  • Tournament scheduling.

  • Facility requirements.

  • The overall integrity of the event.
     

The Tournament Director’s decisions regarding schedules, brackets, weather, eligibility, protests, refunds, and tournament administration are final.
